SARACENS ACADEMY
If you are a member of, or associated with, the Saracens Academy we will collect and process the following data about you, along with parental consent, in addition to those categories listed previously:

We collect all data about Academy members on annual basis in order to ensure that we have the most up to date records. Any medical data we collect is retained for 8-10 years in line with the Records Management Code of Practice for Health and Social Care 2016, and in line with company insurance policy.
All Academy data is stored in encrypted files where access is limited to relevant members of staff. We may occasionally share your data with Academy stakeholders in the legitimate interests of the Academy and to provide a service to you as a member of the Academy. If data is shared any documents will be encrypted and all reasonable efforts made to protect the security of these documents.

REWARDS4RUGBY (Saracens Rewards)
Rewards4Rugby is our rewards and loyalty programme which is free for all our season ticket holders, members and fans to use. As a Saracens fan you will be entitled to earn Rewards4Rugby points when you purchase your season tickets, matchday tickets, membership and merchandise. New Members – post an advance ticket purchase [online or over the phone] with us, you will be given the opportunity to join the Rewards4Rugby programme, via a Rewards4Rugby ‘Claim My Points’ email that we will send you shortly after your purchase. In order to facilitate the claiming of these valuable Rewards4Rugby points, Rewards4Rugby will process your account information (including name, address, email address and transactional information). Rewards4Rugby will not process or store your information for any other purposes than allowing you to seamlessly become a member of the programme, and will delete your information in line with their Privacy Policy.
Existing Members – for Saracens customers who are existing Rewards4Rugby members, following a ticket or merchandise purchase with us (online or by phone) the information relating to your transaction (including the products purchased, the total price paid and any Rewards4Rugby points redeemed as part of your transaction) will be processed by Rewards4Rugby for the purposes of applying points to, or removing points from, your Rewards4Rugby account.
How Rewards4Rugby will use your information:
To provide member benefits – if you are a customer who is a member of the Rewards4Rugby programme, we will share with Rewards4Rugby the information concerning your transactions with us. The information we share will be used by Rewards4Rugby to provide you with member benefits and to operate the Rewards4Rugby programme. In providing these services, we may disclose transactional information to Rewards4Rugby about our customers (who may not be Rewards4Rugby members) so that Rewards4Rugby may analyse transactional information, customer purchases and behaviours (and trends) as well as segmenting our customer database. For the purposes of performing these tasks, we continue to control any information shared – Rewards4Rugby acts under our instruction and as a data processor only and will not use your personal information for its own purposes.

SENSITIVE DATA
In order to confirm your eligibility for any Disability discount we may ask you for proof of disability. Any disability verification documents submitted will be used to verify your status and will then be deleted from our systems. No sensitive data will be retrained unless with your expressed written permission.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.
You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data.
